What is content management?

Content management is the collection, management, and publication of content. Any organisation that creates documents, publications, research papers or communications materials is practising some form of content management.

Who needs content management?

As your information management requirements grow it becomes necessary to employ tools to organise and automate the management of content. Automated content management is vital for any organisation that wants to communicate effectively. Symptoms suggesting that your organisation would benefit from automated content management are :

  • Increasing amount of content, documents and images
  • Increasing number of content authors or creators
  • Increasing frequency of updates to content
  • Location of authors spread over multiple sites
  • Content being produced in multiple languages
  • Website architecture falling apart; broken links, irrelevant and outdated information...
  • Long delays or costs and communication chains between content authoring and its realisation in published web pages
  • Long delays or costs to make design changes to published content

Manual Method

Every page is created and published by hand using off the shelf software. Whilst products such as Frontpage or Dreamweaver can facilitate the process, often knowledge of web design principles or web programming languages (HTML for example) are required to get the best from this approach making it necessary to employ experienced web staff or outside consultants. This can be both expensive and time consuming. As a site becomes more complex it becomes very difficult to manage effectively by this method.

Install and run a content management system

Whilst large systems such as Microsoft Content Management Server or Interwoven TeamSite offer an immense amount of functionality, they are typically expensive to licence, install and maintain and are not really a viable option unless you have a reasonably sized IT team which is up to the task.

Smaller systems may be cheaper to licence but still need IT support for maintenance and often do not offer all the functionality required

Mondrian...

Offers the functionality of bigger systems with none of the installation, maintenance or cost headaches.
